Privacy Policy

This policy explains how Khanal Techno Services ("we") collects and uses personal data in Signature OS.

What we collect

• Account data: name, email address, password (stored only as a secure hash), sign-in records.
• Organisation data you add: employee names, job titles, departments, phone numbers, photos and profile links used to build signatures.
• Directory data imported from Google Workspace or Microsoft 365 when an administrator connects them (read-only user profile fields).
• Payment records: plan, amount, date and Razorpay order and payment IDs. Card, UPI and bank details are handled by Razorpay, not by us.
• Link clicks: if click tracking is enabled, the number of clicks per signature link. We do not set cookies on recipients or record who clicked.

How we use it

Only to provide the Service: building and deploying signatures, account security, billing, support and legally required records. We do not sell personal data or use it for advertising. We never read the contents of email.

Sharing

With Google and Microsoft (to write signatures to mailboxes you connect), Razorpay (payments), and our hosting provider, each only as needed to run the Service, or when required by law.

Retention and security

Data is stored on servers in our hosting provider's data centres, protected by encryption in transit, hashed passwords and encrypted credentials. Data is kept while your organisation uses the Service and deleted on request, except records we must keep by law.

Your rights

You can access, correct or delete your data from within the Service or by emailing connect@vikashkhanal.in. We will respond within 30 days, consistent with the Digital Personal Data Protection Act, 2023.
